Keeping Learning at the Heart of a Major Change

Problem

An independent school was embarking on a significant 15-month campus redevelopment while continuing to operate as a busy, fully functioning school.

The project involved architects, contractors and specialist suppliers, alongside the needs of teachers, students, parents, the School Leadership Team and the Board. Every decision had the potential to affect teaching, learning and the day-to-day experience of the school community.

The Principal and Business Manager needed experienced support to coordinate the many moving parts of the program, ensure the school’s priorities remained front and centre, and provide the additional capacity needed to deliver a complex project without distracting leadership from their core responsibility – providing an outstanding educational experience.

Solution

Stoke Consulting worked alongside the School Leadership Team as a trusted advisor and delivery partner, representing the school’s interests throughout planning and implementation.

Working across the entire program, we:

  • Consulted with teachers, leadership and operational staff to understand educational, operational and facility requirements before design commenced.

  • Coordinated architects, contractors and specialist suppliers to ensure decisions reflected the school’s operational priorities, not just construction requirements.

  • Planned project activities around the rhythm of the school, carefully scheduling noisy works, utility outages, deliveries and demolition to minimise disruption to teaching, examinations, events and school operations.

  • Established clear expectations around child safety, site security and contractor behaviour within an active school environment.

  • Led stakeholder communication with staff, parents and the broader school community, helping maintain confidence and minimise uncertainty throughout the project.

  • Managed budgets, monitored variations and held contractors and consultants accountable, enabling informed decisions while reducing the administrative burden on school leadership.

Outcomes

Schools don’t stop operating because major projects are underway.

Unlike many organisations, they must continue delivering exceptional educational outcomes every day while balancing the expectations of students, parents, staff, Boards and external contractors.

By acting as an extension of the School Leadership Team, Stoke Consulting provided the additional capability needed to coordinate a complex program, protect the school’s priorities and reduce pressure on internal leaders.

The result was more than a successful redevelopment – it was a successful redevelopment delivered without losing sight of what mattered most: teaching, learning and the student experience.

The redevelopment was successfully delivered while the school continued to operate throughout the 15-month program.

Key outcomes included:

  • Teaching and learning remained the school’s highest priority throughout construction.

  • Disruption to students, staff and day-to-day operations was carefully managed and minimised.

  • Teachers and staff were actively engaged throughout the program, resulting in facilities that better supported future learning needs.

  • Parents and the wider school community were kept informed through proactive communication and engagement.

  • School leadership retained confidence that project risks, budgets, consultants and contractor performance were being actively managed.
